Effective Date: Upon adoption by the Board of Directors and School Management

1. Purpose


The purpose of this policy is to provide the official schedule of fees at Precious Lighthouse Academy (PLA) and to establish standardized procedures for charging and collecting school fees.


This policy ensures that parents and guardians are fully informed of their financial obligations and the procedures applied by the school regarding fees.

2. Authority and Fee Determination

PLA is an independent private school, and all school fees are determined by the school management board annually.

School fees are set during the compilation of the annual budget, taking into account expected income.

Any annual fee increase will be effective from 1 January each year.

Fees are compulsory for all learners, and parents are expected to comply with this policy.


3. Payment of Fees

School fees are payable over 12 months, unless parents choose an upfront payment for the full year.

Full-Year Upfront Payment Discount:

Parents who pay the full year’s fees in one lump sum are eligible for a one-month fee discount.

To qualify for this discount, full payment must be made by the 31 December of the preceding year, before the start of the new academic year.

This applies only to complete upfront payments for the entire year.


Sibling Discount

Families with more than one child enrolled at the school receive a 10% discount on the total combined school fees.

Should parents with multiple children wish to qualify for the one-month full-year discount, they must pay the full year’s fees for all siblings together, in one total amount.

In this case, the family will qualify for both the 10% sibling discount and the one-month annual payment discount, provided the payment is made in full by 31 December of the previous year.


Upfront Payments at End of Year:

School fees are structured to be paid monthly in advance.

Parents are expected to make payments at the end of each month for the upcoming month’s fees.

Example: At the end of March, parents pay for April; at the end of April, they pay for May, and so forth.

This means school fees are always paid upfront, ensuring that the school remains financially stable and continues to deliver quality education.


End-of-Year Upfront Payments

At the end of November, parents are required to pay for the month of December.

Since the school closes between 10-15 December yearly, parents are also liable to pay for January’s fees before closure.

Therefore, parents must ensure that January’s school fee payment is made no later than 15 December of the previous year.

This ensures that when the school reopens in January, all learners are financially cleared and ready to resume learning.


Registration and Re-registration Fees:

Re-registration is due end of October each year.

A re-registration fee of R300 applies annually.

Parents must complete re-application annually according to the fee agreement; the school reserves the right to refuse re-application.


4. Scope of Fees


School fees include the basic tuition but exclude the following optional or additional costs:

Voluntary tours, outings, camps and excursions

Swimming lessons and extracurricular activities

Robotics or other additional syllabus activities

PACE materials, stationery, and other levies (e.g., sport, aftercare, science & math activities, excursions, computer levy, transport)


Service and Fundraiser Support Fee

Parents are required to support the school’s service and fundraising efforts, especially those that are compulsory.

These services help fund and sustain free extracurricular activities such as swimming and bike programs, which benefit all learners.

To ensure these activities remain free of charge, each parent is required to contribute a compulsory service fee of R50 per month.

This fee assists in covering operational costs related to these programs and reflects shared responsibility in maintaining the school’s holistic offerings.


Casual Fridays and Monthly Fundraiser Dress-Up Days

As part of their contribution through the R50 service and fundraiser support fee, all learners are permitted to dress in casual wear every Friday.

On the last Friday of each month, the school will host a special themed fundraiser day.

Learners will be encouraged to dress up in character outfits or according to the theme announced for that month.

Parents will receive a notice or circular prior to the last Friday of each month, specifying the theme or character focus for that particular fundraiser.

Participation in these events promotes school spirit, creativity, and community involvement while helping support valuable school initiatives.


Annual Concert Participation

The annual school concert is compulsory for all learners to participate in.

This event forms part of our school’s cultural and developmental program, giving learners the opportunity to build confidence, teamwork, and performance skills.

The funds raised from the concert contribute toward teacher appreciation bonuses, as a gesture of gratitude for their dedication and hard work throughout the year.

This initiative also serves as a way for parents to express their appreciation to the teaching staff, acknowledging the vital role they play in the academic and personal growth of every learner.

We encourage parents to fully support this annual event through their attendance, participation, and contribution, as it strengthens our school community and celebrates the collective achievements of the year.

 

At Precious Lighthouse Academy, we value the support and partnership of our parents in maintaining a vibrant, well-resourced, and financially sustainable school environment.

Our school does not make frequent or unnecessary financial requests during the year. Instead, we operate through a structured annual plan that outlines all expected contributions, so parents are informed and prepared in advance.

Each year, parents will receive an annual planner that highlights important events and financial commitments for the year.

We kindly ask all parents to support the school financially by:

Paying their school fees and service fees (R50 per month) on time;

Supporting the annual concert, which is both a celebration and a key fundraising event that contributes to teacher bonuses and school development;

Supporting school excursions, outings, and sports activities, as these enrich learners’ experiences beyond the classroom.


While parents may be responsible for paying for bus transportation, entrance fees, or specific outing costs, these activities are designed to enhance learning and build school spirit.


The school, in turn, takes responsibility for purchasing and maintaining most of the required resources, materials, and operational needs, so that parents are not burdened with ongoing or excessive expenses.


Through these combined efforts, our parents and school community help ensure that Precious Lighthouse Academy continues to thrive—offering quality education, free extracurricular programs such as swimming and baking, and an enriching environment for every learner.

5. Collection Procedure

School fees are due on the last day of each month.

Reminder Procedure:

If fees are not received by the due date, a reminder call is made on the 1st of the following month.

Monthly statements are sent electronically, and a electronic reminders is issued if fees are late.

Debt Control:

Strict debt control is practiced by the finance officer.

Fees one month in arrears become due and payable in full and may be referred for legal collection.

Non-payment of fees may affect participation in non-academic activities, excursions, or optional programs.

Special fee arrangements may be revoked if payment obligations are not met.

6. Late Payment and Legal Action

If any fees or payments due are not paid on time and legal action is required:

Parents will be liable to interest at 2% above the prime overdraft rate of the school’s bankers from the due date until full payment.

Parents will also be liable for all legal costs, including attorney fees, collection agent fees, and related expenses on the scale as between attorney and own client.

The school may refuse attendance of classes if fees are not honoured.

Habitual or ongoing arrears may result in the review of the learner’s continued enrolment.

7. Responsibility for Damage


Parents will be responsible for the cost of replacing or repairing any school-provided resources or stationery items that are lost, damaged, or broken due to misuse or negligence by their child.


This ensures that resources remain available for all learners and encourages students to use materials responsibly.

8. Notice Period for Withdrawal

Two months’ written notice is required if a learner is leaving the school.

Failure to provide the required notice will result in two months’ fees being added to the parent’s account.

School leavers are deemed to have given proper notice if the above conditions are met.

9. Receipts and Payments

All payments received by the school are recorded and receipted, except for EFT payments which are verified electronically.

Parents are encouraged to maintain proof of payment for their own records.

10. Disciplinary Action for Non-Payment


If parents fail to meet their financial obligations, the school may apply the following steps:

Verbal Reminder: Contact by finance officer or bursar to discuss non-payment.

Written Warning: Formal notice of outstanding fees and required corrective action.

Meeting with Principal/Bursar: Parent is required to meet school leadership to resolve outstanding amounts.

Final Notice and Legal Action: If payment remains overdue, the account may be handed over to legal representatives for collection.

Re-application Review: Continued non-payment may result in re-application being refused for the following school year.

11. Effective Date


This School Fees Policy becomes effective upon adoption and signature by the Chairperson, Board of Directors, and School Management.

12. Conclusion


This policy establishes a clear and standardized fee structure, outlines responsibilities for parents, and provides procedures for collection, debt management, discounts, and enforcement.


All staff, management, and parents involved with financial affairs of the school are expected to adhere to this policy at all times. Any deviation constitutes a violation of school policy and may result in appropriate action, including disciplinary measures.

Precious Lighthouse Academy

1. Purpose of the Policy


The purpose of this policy is to provide clear guidance for the admission of learners to Precious Lighthouse Academy (PLA). It ensures:

No unfair discrimination occurs in the admission of learners.

Learners are not unlawfully refused admission.

Administrative procedures are clearly defined and known to all stakeholders.

Admission processes are conducted smoothly and professionally.

2. Preamble


The South African Schools Act (SASA), Act No. 84 of 1996, provides the framework for school governing bodies (SGBs) to establish and adopt an admissions policy. PLA’s admissions policy is in line with the Constitution of the Republic of South Africa and reflects the school’s vision, mission, and values.

3. Vision


PLA envisions a school that nurtures each child’s academic, spiritual, and social growth, producing confident, responsible, and capable young learners equipped to achieve future success.

4. Mission


Our mission is to provide a high-quality, Christ-centered education in a safe, supportive environment, ensuring every learner reaches their full potential academically, socially, and spiritually.

5. Values


PLA’s core values guide all interactions and conduct for staff, students, and parents:

Respect and dignity for all.

Integrity and accountability in all actions.

Excellence in teaching and learning.

Collaboration between school, parents, and learners.

Inclusivity, fairness, and equal opportunity.

6. School Admissions Committee

The School Management Committee (SMC) serves as the admissions committee.

The SMC is chaired by a member delegated by the SGB.

Committee members serve for a period of 1 year.

Responsibilities include preparing admission and readmission forms, ensuring online admission processes are functional, controlling admission documentation, and admitting learners.

7. Right of Learners to Admission

No learner shall be denied admission based on gender, race, color, creed, cultural background, or family behavior.

No intelligence or aptitude tests will determine admission.

Age norms:

Grade R: Learners must turn 5 by 30 June of the year of admission.

Grade 1: Learners must turn 6 by 30 June and have completed Grade R.

Learners older than age norms may undergo a diagnostic test to determine grade placement. If necessary, learners may be fast-tracked or placed in a lower grade with an accelerated program to catch up to peers.

8. Admissions Procedure

Parents must complete an online application form available on the school website.

Parents must review and accept the Admissions Policy and Learner Code of Conduct during application.

The school will assist parents if required during the online application process.

Upon submission, the school will acknowledge receipt and notify parents of:

Diagnostic interviews for older learners.

Meetings with ECD learners as needed.

The Management Committee will process applications and notify parents of the outcome.

Upon acceptance, parents will receive a statement for registration fees and school fees to finalize admission.


Admission of Learners with Special Needs

PLA may admit learners with special needs provided the school is able to appropriately cater for the learner’s educational and other needs, including physical impairments.

While PLA will make reasonable efforts to accommodate learners with special needs, the school is not trained for special needs.

In cases where the learner’s needs exceed the school’s capacity, parents will be advised to seek admission to a specialized institution that can adequately provide for the learner.

9. Documentation Required on Admission


Parents must submit:

Official Birth Certificate of the learner. Conditional admission allowed until a copy is obtained if necessary.

Parent/guardian ID (copy).

Clinic card showing immunization against: polio, measles, tuberculosis, diphtheria, tetanus, and hepatitis B.

Recent report card (for school learners transferring from another school).

Transfer letter from the previous school (for school learners).

ID Photograph of the learner.


Note: Making a false statement regarding a learner’s age is an offense under the Births and Deaths Registration Act, 1992 (No. 51 of 1992).

10. Conditional Admission

Conditional admission is valid for a maximum of three months.

Parents must ensure all required documentation is submitted within this period to finalize admission.

11. Transfer of Learners

The school completes a transfer card for learners leaving PLA.

The learner’s permanent record remains with PLA.

12. Admission of Foreign Learners

Foreign learners are admitted according to South African immigration and educational regulations.

All documentation must comply with legal requirements for study in South Africa.

13. Online Admission System

PLA uses a paperless admission system via www.lighthouseab.co.za.

Parents are encouraged to submit applications online and read all school policies and codes of conduct prior to submission.

The system also provides newsletters, updates, and notices for parents.

14. Diagnostic Testing

Learners above the age norm may undergo diagnostic testing for placement.

Placement is based on the learner’s educational interests and readiness, aiming to integrate them with their peer group as soon as feasible.

15. Immunizations

Proof of immunization is required for admission.

The school will advise parents if a learner needs immunizations as part of South Africa’s Free Primary Health Program.

16. Compliance and Accountability

The school maintains an Admissions Register in the administration office.

All learners enrolled must appear in the register.

PLA reserves the right to refuse admission if documentation or requirements are not met.

Parent Incident Reporting Policy


Purpose:

The purpose of this policy is to provide a clear and structured process for parents to report incidents concerning their child. This ensures that all concerns are addressed promptly and effectively, while maintaining a safe and supportive environment for all students. This policy applies to all parents and guardians.

1. Definition of an Incident


An incident is defined as any event that may compromise the safety, well-being, or educational experience of a student.

This includes, but is not limited to:

Bullying

Unusual behavioral occurrences

Any other concerns experienced within and outside the school

2. Immediate Reporting

Parents are encouraged to report incidents as soon as they become aware of them.

3. Incident Reporting Form

Parents are encouraged to complete an incident reporting form for each incident [ available on school website ]

4. Acknowledgment and Investigation

Upon receipt of a report, the school administration will acknowledge it within 24 hours.

The school will then initiate a thorough investigation.

Investigations may include:

Interviews with relevant parties

Review of evidence or documentation

Investigations are conducted confidentially to protect the privacy of all individuals involved.

5. External Support (if necessary)

In cases requiring external intervention, the school may contact:

Social Services / Department of Social Development for support, which may include home visits

Occupational therapists or other specialists as needed

The school will ensure that the situation is managed in collaboration with these professionals, keeping parents informed appropriately.

6. Feedback to Parents

Parents will receive feedback regarding the findings of the investigation and actions taken by the school.

The timing of feedback may vary depending on the severity and complexity of the situation, particularly when external agencies are involved.

7. Support for Students

The school will provide appropriate support for affected students, including counseling services facilitated by the school pastor if necessary.

Follow-up appointments may be scheduled with parents to discuss ongoing support and interventions for their child.

8. Confidentiality and Record-Keeping

All reports and investigations are handled with strict confidentiality.

Information is shared only with individuals directly involved in resolving the incident, and as required by law.

9. Handling Personal or Family Matters Raised by Parents

Parents may occasionally raise personal or family issues during interactions with the school.

Precious Lighthouse Academy is not responsible for resolving personal family disputes or becoming directly involved in private family matters.

The school will listen respectfully to the parent’s concern, but action will be limited to matters that directly impact the student’s learning, safety, or behavior at school.

If a family situation affects the student’s well-being or academic performance, the school may:

Provide guidance on appropriate support services or external agencies

Facilitate contact with professional counselors, social workers, or occupational therapists if necessary

The school will maintain confidentiality and ensure that involvement is professional and limited to supporting the student’s needs, without intervening in personal family disputes.

Parents are encouraged to seek external support for personal matters that do not directly affect the child’s schooling.

Parent Meetings Policy


Purpose:

The purpose of this policy is to establish clear guidelines for parent meetings at Precious Lighthouse Academy. It aims to foster a constructive and respectful environment for communication between parents and staff, protect staff well-being, and maintain a positive educational atmosphere. This policy applies to all parents, guardians, and staff members.

1. One-on-One Parent Meetings

One-on-one meetings are conducted to discuss child progress.

Reports are provided at the start of each term, summarizing the child’s progress in the previous term. These reports are reviewed during the Parent Convention (one-on-one meeting).

During the meeting, the teacher and parent discuss the report, focusing on areas where the child needs support and identifying interventions.

This format ensures focused discussion and minimizes potential conflict that may arise in larger group settings.

Reports remain at school and are not provided electronically or sent home, except at the end of Term 4, when parents may take the report home.

2. Group Meetings

Group meetings with multiple parents are not conducted unless deemed necessary by the school.

Parents with concerns should request a one-on-one meeting with the teacher for individual discussion.

3. Scheduling Appointments

All parent meetings must be scheduled through the school administration via email or phone.

Parents cannot meet teachers, management, the principal, or the admin team without a prior appointment.

Meetings must be organized at times that do not disrupt school activities.

Multiple appointments can be requested if necessary, but all meetings are one-on-one to ensure privacy and effectiveness.

4. Conduct During Meetings

All meetings must be conducted respectfully.

Shouting, personal attacks, or intimidation will not be tolerated.

Sharing details from meetings publicly or on social media is unacceptable and may result in further action.

5. Follow-Up and Accountability

After each meeting, a written record of the discussion and agreed actions will be documented.

Parents may request additional appointments if necessary, but these will also follow the one-on-one protocol.

6. Meetings Related to Disciplinary Matters

If a child has breached a school policy, parents will be called to meet with the school.

The teacher may not return the child to the classroom until the parent meeting has taken place, depending on the severity of the situation.

Meetings must be attended promptly as scheduled by the school to address the matter.

7. Additional Notes

The school may require meetings for other important matters.

8. Parent Support in ACE Meetings and Conventions

As an ACE (Accelerated Christian Education) school, parent involvement is a critical part of our curriculum and learning methodology.

All parent conventions, parent conferences, and one-on-one meetings form an integral component of our ACE program, helping parents understand their child’s progress, learning style, and areas requiring support.

Parents are expected to actively participate and support these meetings. Attendance and engagement ensure that:

Parent Stationery Policy


Effective Date: 6 January 2025


1. Purpose


The purpose of this policy is to establish clear guidelines regarding the provision, use, sharing, and management of stationery provided by parents for their children.


This policy aims to promote a collaborative, resourceful, and organized learning environment while ensuring that all learners have access to the materials they need for effective learning.


This policy applies to all parents and guardians of learners enrolled at Precious Lighthouse Academy (PLA).

2. Provision of Stationery


Parents are responsible for providing all necessary stationery items for their children as outlined in the annual stationery list provided at the start of each academic year.

The school encourages parents to purchase good-quality items that can be used consistently throughout the year.

If a learner runs out of supplies, loses items, or damages them during the year, parents are expected to replace them promptly to ensure their child can fully participate in class activities.

3. Classroom Resources vs Personal Stationery


Parents should understand that some stationery items are shared classroom resources rather than for individual student use.

These items are used by the whole class in lessons, group activities, or for ECD (Early Childhood Development) learning experiences.

Examples include building blocks, puzzles, beanbags, art and craft materials, and other group learning resources.

Items provided as classroom resources may be used over several months and cannot be expected to remain exclusively with one child.

When parents supply these resources, they are contributing for the benefit of the entire class, not only their own child.


This system ensures fairness, maximizes learning opportunities for all learners, and supports a collaborative classroom environment.

4. Sharing and Handling of Personal Stationery


Students are not expected to share their personal stationery items during class or activities.


This policy helps to:

Prevent loss or damage to personal property,

Avoid unnecessary responsibility being placed on other students, and

Manage classroom resources effectively.


Students are encouraged to take personal responsibility for their stationery and to care for it appropriately throughout the year.

5. Replacement and Additional Items


Stationery items may be used, misplaced, or damaged as part of daily learning activities.


If additional items are required that were not on the original stationery list, the school will:

Inform parents in writing, and

Indicate whether the item needs to be purchased by the parents or whether the school will provide it and bill the parents accordingly.

6. School-Provided Learning Resources


In some cases, the school may provide specific materials or resources, such as:

Workbooks, printed lesson materials, or craft supplies

Classroom devices or digital tools (e.g., tablets, headphones)


If the school provides these items, parents will be billed. Parents may also choose to purchase these items themselves if they meet the school’s specifications and quality standards.

7. Responsibility for Damage


Parents will be responsible for the cost of replacing or repairing any school-provided resources or stationery items that are lost, damaged, or broken due to misuse or negligence by their child.


This ensures that resources remain available for all learners and encourages students to use materials responsibly.

8. Sales of Stationery for Classroom Use


When parents provide or “sell” stationery items as part of classroom resources, the following applies:

Items are contributed for the entire class, not exclusively for the child who supplied them.

Items may be used over several months, and parents should not expect these items to remain with their child only.

These shared items support classroom activities, learning experiences, and collaborative projects.


By contributing in this way, parents are helping the school maintain adequate resources for all learners.

9. Responsibility and Care


Students are encouraged to use stationery responsibly and maintain their supplies carefully.


Parents are asked to support their children in keeping a well-organized and prepared stationery pack throughout the year.


This fosters responsibility, independence, and respect for personal belongings.

This Parent Code of Conduct outlines the expectations we have for all parents and guardians to help maintain a community built on respect, teamwork, and shared responsibility for the well-being and success of every learner.

2. Respect in Communication


Parents are expected to treat all members of staff — including teachers, administration, and leadership — with respect, courtesy, and professionalism at all times.


If you have any concerns, queries, or feedback, please communicate directly with the school.

We kindly ask parents not to air grievances on social media or in public forums, as this can cause misunderstanding and harm to the school community.


Open, direct communication is the key to resolving any issue effectively and maintaining trust between parents and the school.

3. Professionalism


Disrespectful behaviour, rudeness, aggressive language, or negative remarks toward staff will not be tolerated.


We are all part of the same team — working together to positively impact the lives of our children. Parents are expected to model appropriate behaviour for their children, demonstrating respect, kindness, and self-control at all times.


During School Events


When attending school concerts, outings, functions, or any events organised by Precious Lighthouse Academy, parents are expected to:

Respect the rules and guidelines set by the school for each event.

Refrain from giving personal opinions or attempting to alter how the school manages or runs events.

Understand that the school operates under an established Code of Conduct and structured policies designed to ensure safety, order, and excellence.


Parents are reminded that these policies exist to serve all learners fairly and should be respected at all times.

4. Teamwork

6. Consequences of Breach


Failure to adhere to this Code of Conduct may result in disciplinary action, depending on the severity and frequency of the misconduct.


The disciplinary process for parents who violate this policy may include:

Verbal Warning: A private discussion to address the issue and clarify expectations.

Written Warning: A formal letter outlining the inappropriate behaviour and required corrective action.

Meeting with School Leadership: A mediation meeting involving the parent, the principal, and relevant staff to resolve the matter.

Final Written Notice: A formal notice indicating that further violations may lead to enrolment review.

Termination of Enrolment: In severe or repeated cases of disrespect, harassment, or misconduct that harm the school environment, the school reserves the right to terminate the learner’s enrolment.


These steps ensure that all disciplinary matters are handled fairly, respectfully, and consistently, with the aim of restoring healthy communication and cooperation.

7. Our Commitment

8. Disciplinary Action for Policy Violations


Should a parent violate this policy, the following disciplinary steps may be taken:

Verbal Warning: A private conversation to address the concern and clarify expectations.

Written Warning: A formal notice outlining the issue and corrective action required.

Mediation Meeting: A meeting between the parent, school leadership, and (if applicable) a witness to seek resolution.

Suspension of Communication Privileges: Limiting contact to written correspondence only, until respectful conduct is restored.

Purpose

The Precious Lighthouse Academy (PLA) School Uniform & Appearance Policy exists to promote neatness, discipline, unity, and school pride.

Our goal is for every learner to represent the academy with excellence, both inside and outside the school environment.

Wearing the correct uniform creates equality among learners and reflects the values of our academy ; excellence, respect, and integrity.

General Uniform Guidelines

All learners are required to wear the official Precious Lighthouse Academy uniform daily. This includes regular school days, assemblies, outings, and special events unless otherwise communicated.

Learners must:
• Wear plain white school sneakers at all times. (No branded, coloured, or patterned shoes.)
• Keep their uniforms clean, neat, and well-presented at all times.
• Use only navy blue school bags or the official PLA-branded school bag.
• Avoid cartoon, branded, or multi-coloured bags.
• Ensure all uniform items are clearly labelled with the learner’s name.

Maintaining consistency in uniform helps to build a strong sense of belonging and school pride.

Hair and Accessories
• Hair must always be clean, neat, and well-groomed.
• Hair accessories (bands, ribbons, clips) must be in school colours only – navy, white, or light blue.
• No coloured or decorative accessories (such as beads, bright hairbands, or fashion items) are allowed.
• Hairstyles should be simple, age-appropriate, and in line with school standards.
• Boys’ hair must be neat, short, and above the collar.

Swimming Uniform

Swimming lessons are part of the school’s physical education programme and are compulsory for all learners.

learners must wear the official Precious Lighthouse Academy swimwear, which includes:
• The PLA-approved swimsuit
• A swimming cap (PLA – approved )
• Appropriate swimming towel and bag ( navy only )

The purpose of this policy is to clarify the Academy’s stance regarding learner graduations and to ensure that parents and guardians understand the educational and developmental significance of graduation ceremonies held at Precious Lighthouse Academy.

Policy Statement:

At Precious Lighthouse Academy, a graduation ceremony is a symbolic event celebrating a learner’s successful completion of the Grade R (Reception Year) phase.

Graduation marks the learner’s readiness to progress to the next level of formal education — Grade 1 — after achieving the foundational learning and developmental milestones required in the Early Childhood Development (ECD) stage.

Accordingly, graduation ceremonies are held exclusively for Grade R learners who have completed their reception year.

Learners in Pre-Grade R or younger classes will not participate in graduation ceremonies, as these learners are still in the foundational development phase and have not yet completed the required curriculum outcomes that signify readiness for primary school.

Rationale:

Parents and guardians are encouraged to understand that there are three significant milestones in a learner’s educational journey that are celebrated in a special way:
1. Grade R Graduation – marks the completion of the Reception Year and readiness for primary school.
2. Grade 7 Farewell or Prom – marks the completion of primary school and transition to high school.
3. Matric Ball (Grade 12) – marks the completion of secondary education and readiness for tertiary education or future endeavors.

These key milestones represent academic and developmental achievements that warrant special recognition and celebration.

Implementation:
• Only Grade R learners who have met the requirements of the Reception Year curriculum will participate in the official Graduation Ceremony.
• Pre-Grade R learners may have a class farewell activity or certificate of participation, but this will not constitute a graduation.

Conclusion:

This policy upholds the integrity and purpose of the graduation ceremony as a meaningful recognition of educational achievement, ensuring that learners and parents value each stage of the academic journey appropriately.

Purpose:

This policy aims to ensure the safety and accountability of all financial transactions at Precious Lighthouse Academy (PLA) by eliminating the handling of cash on the premises.

It provides parents and guardians with clear guidelines regarding acceptable payment methods for school fees, events, and other activities.

Policy Statement:

Precious Lighthouse Academy is a cash-free environment. For the safety of our learners, staff, and administration, and to ensure proper recordkeeping and transparency, no cash payments will be accepted on the school premises.

All school-related payments must be made electronically or through approved digital payment channels.

Accepted Payment Methods:
1. Payment Links: Parents may receive secure payment links sent via watzup, SMS, or through the Academy’s website or online shop.
2. EFT (Electronic Funds Transfer): Payments may be made directly into the school’s official bank account.
3. Card Payments: Debit and credit card facilities are available at the school for in-person transactions.
4. Online Shop: Parents may use the official online shop on our website for specific items, events, or services.

Exception:
The only cash transaction permitted on the school premises is the Friday civvies contribution, which is R5 per learner & Tuck Shop money.

No other form of cash payment will be accepted or processed under any circumstances.

Rationale:
• To improve the security of learners and staff by minimizing cash handling on-site.
• To ensure accurate financial records and accountability.
• To align with modern, cashless financial management practices.


• All staff members are required to uphold and enforce the no-cash rule.
• Any parent or guardian attempting to make a cash payment (other than the approved R5 Civvies contribution) will be redirected to use one of the accepted payment methods.

learning environment rooted in Christian values. Swimming lessons form part of the academy
programme to promote physical development, confidence, water safety awareness, and the
overall well-being of our learners.

1. Applicability
This policy applies to all learners from ages 3–5 years up to Grade 7 who participate in the
school’s swimming lessons.

2. Swimming Schedule, Venues & Instructors
Swimming lessons are provided by the academy at no additional cost to parents.
● ECD Learners (Ages 3–5 years):
○ Venue: On-site at the School.
○ Time: Every Thursday from 11:00 am to 12:00 pm.
○ Instructors: Conducted by Mr. Klein and Ms. T. Klein.
● Academy Learners (Grade R – Grade 7):
○ Venue: Blue Downs Indoor Swimming Pool.
○ Time: Every Thursday from 1:00 pm to 2:00 pm.
○ Instructors: Conducted by external specialist instructors from Kwaya Aquatics:
Christopher van Niekerk and Sharon Hendricks, supervised by school staff.

3. Swimming Attire & Towel (Compulsory)
To ensure modesty, safety, and uniformity, learners must arrive with the required kit. Learners
will not participate if they do not have the proper attire or a towel.
● Girls (ECD – Grade 7): Navy one-piece swimsuit with Navy PLA sports shorts worn over
the swimsuit.
● Boys (ECD – Grade 7): Navy swimsuit with Navy PLA sports shorts worn over the
swimsuit.
● Towel: Parents are required to pack a towel for their child for use after the lesson.

4. Swimming Cap & Goggles (Compulsory)
● A navy swimming cap is required for all learners.
● Navy swimming goggles are compulsory and form part of the required swimming kit.

5. Admission & Consent for Swimming
Before participating, parents/guardians must complete and sign a Swimming Admission &
Approval Form, which includes:
● Parental consent and Medical disclosures (asthma, allergies, epilepsy, etc.).
● Emergency contact details and permission for staff to act in an emergency.
● Photography Consent: Permission for the academy to take photos or videos during
lessons for educational, promotional, or social media purposes.

6. Health & Safety
All swimming sessions are supervised by trained staff. Learners with medical conditions must
have labeled medication provided to the school. The school reserves the right to withhold a
learner from swimming if participation is deemed unsafe.

7. Parental Responsibility
Parents are responsible for ensuring learners have their full kit (attire, cap, goggles, and towel)
and for informing the school of any changes to the learner’s medical status.

• Parents may not use external suppliers, printers, or individuals to make, alter, print, or reproduce any part of the school uniform or branding.
